Short Description / Purpose of Job

Assisting the Mobilisation team members in the implementation of people mobilisation processes through conducting general administration, filing, PRs, coordinating, record keeping and HR system maintenance activities with high levels of accuracy and customer centricity to ensure the Mobilisation plan is effectively delivered and that customers needs are addressed.


 

Recruitment Description / Key Accountabilities

Provide the team and customers with standard and accurate people data reports and calculation through the effective use of the HR systems and technology.

Prepare and provide reports at the request of more senior team members, containing people mobilisation data or metrics to enable the teams to efficiently deliver solutions and advice to their assigned internal customers.

Ensures data integrity of the HR recordkeeping and systems by updating the required people data and records accurately and on time, following set standards and procedures as well as governance guidelines.

Keep track of permit applications, ensure record are kept and copies are electronically filed. Compile reports. This includes service providers support as applicable.

Ensure proper monitoring, overall country governance and reporting process is in place for permit and other mobility processes that will facilitate government engagements and execution of assumed commitments - execution and system Applications, monitor, audit.

Conduct the administrative duties required to support both permit applications and onboarding of new expats and contractors s to ensure these have a positive experience and to ensure the process is conducted compliant with relevant policies.

Provides support in the coordination of activities needed to complete the mobilisation, permit application and onboarding process which includes the coordination of the employment and secondment contracting process. This includes the admin and recordkeeping where we support the service provider permits and mobilisation.

Assists in facilitating the requisition process with the supply chain department and follows up until completion.

Supports Sasol Employee Relations, permits and mobilisation goals by completing relevant documentation accurately and ensuring the HR systems, filing and recordkeeping are appropriately maintained.

Clearly understand and become familiarised with Permit and Employee Relations policies and processes to be able to support effectively.

Set up and coordinate relevant meeting meetings with government departments in accordance with set procedure and assist in drafting relevant documentation.

Ensures the collation and finalisation of relevant documentation on completion, and extracts and captures information on the ER or permit recordkeeping system.

Assists with the coordination of the employee/contractor movement processes and procedures (e.g. transfers, off-boarding, redeployment and rotation) and separation process and procedures through coordinating and implementing the various administrative processes required for these.

Compile reports for the quarterly audits on employee/contractor mobilisation and permit matters.

Manages any administrative related HR and Mobilisation processes required to support the achievement of the plan with high levels of efficiency, customer centricity, and compliance.

Directs employees and line managers with the correct route to take for the resolution of HR and contractor issues.

Continuously seeks to improve personal mastery and professional growth.

Projects a positive image of HR through all interaction with customers. Is responsive to customer queries, needs and challenges.

Keeps customers informed of progress on HR queries.

Builds effective relationships with own team and networks.
