Job description - Receptionist

  • To manage the reception, switchboard, administrative documents processing and provide support to the Office Manager

Responsibilities / Duties:

  • Monitoring who’s coming and going through the front door of the company and they are able to observe and report any suspicious behaviour or activity to the relevant H&S officers.
  • Assist in creating and maintaining spread sheets like the telephone list, creating word documents, merging documents for mailing and more, as expected from Line Manager.
  • The Receptionist is expected to perform multiple tasks quickly & efficiently in addition to answering the switchboard. A Receptionist who possesses strong office and technical skills and is also courteous and tactful will be an asset to the business image of Golder.
  • With all the tasks that are being given to our Receptionist, they should make sure that each call is answered professionally and in a timely fashion. Concentrate on their other tasks even though being constantly interrupted by the switchboard.
  • A productive receptionist must also be willing and able to do more than just answer the phones. Attend to ad hoc duties as assigned.

Switchboard / Boardrooms / Reception

  • Answering the Switchboard, screening and directing calls to staff members, providing basic information to callers, taking messages.
  • Booking boardrooms for meetings on Outlook Calendar. print monthly reports of telephone management system patch numbers on switchboard,
  • Download all data record on spread sheet for Ops Manager Keeping the reception area tidy and well maintained.
  • Maintain all changes made on switchboard Board in the Server Room.
Driver / Internal mail Deliveries

  • In control of the internal mail going to Golder offices and other offices Recording of all parcels
  • Control of the driver’s movements
  • Capturing the company vehicle kilometres on a monthly basis Handling of the outgoing post


  • Liaise with the courier company
  • Write out the waybills and make out orders
  • Write out an invoice detailing the contents and value of the parcel if it is international Check the progress on the courier website and forward progress to the client via email Get all courier invoices signed and send to finance 

Qualification & Experience

  • Minimum - Receptionist Diploma / Certificate
  • 12 grade Secondary School
  • Advance secretarial certificate (recommended)
  • 2 years as receptionist in a company with more than 10 staff members
  • Switchboard systems, computer skills,
  • Bilingual – fluent in English, and Portuguese languages
  • Must be able to communicate well, work well with people and within a team
  • Diplomatic, professional, well groomed, approachable, positive, optimistic attitude
  • Be able to work under pressure and stay calm
  • Proficient in English and Portuguese (Speaking, writing and reading)
  • MS Word , MS Excel, MS PowerPoint and MS Outlook

  • Makes decisions only in limited situations with direction from more experienced staff.
  • Major focus is completing business operations tasks to support others on the team or in the office. Client focus is on providing quality service, mainly to internal clients. Displays a ‘safety first’ focus.
  • Employees focus on setting a positive example by identifying and reporting hazards, near misses and incidents. Employees actively raises safety issues to the attention of peers, contractors and visitors and assist in seeking resolution to the issues identified.
