Job Summary

Sustained good relationship with the Lawyers and Government Registrars to institute healthier working relations.

Identify the new and emerging risk associated with the process of improving the security and maintenance of the Bank's collateral.

Supervising Maintenance, safe custody, and cancellation of securities by taking into consideration the notion of segregation of duties.

Approve of the Bank’s security documents within the set parameters to ensure proper and enforceable security documents whilst meeting customers’ expectations in line with the Bank’s strategy.

Supervising and co-ordinating the review of any other securities documentation that the bank may enter into with third parties.

Advise the bank on its rights and remedies under any legal documentation.

Job Description

People Management

  • Build and develop a high performing team through embedding performance development and coaching. Ensure that team members receive coaching and feedback to develop to achieve their maximum potential.
  • Discuss and finalise Performance Development Plans and ratings for all members of staff.
  • Recommend reward allocations for all direct reports, including bonus and pay increases.
  • Determine and manage Training Needs Analysis and Succession plans for all team members.
  • Responsible for hiring staff based on short-lists of candidates compiled by HR and Resource Coordinator.
  • Responsible for conducting exit interviews for all employee-initiated departures from the bank. Provide results of exit interviews to HR for review and analysis.
  • Manage staff attendance levels, including approval of leave. Compile monthly absence statistics (annual leave, sick leave, family responsibility leave, maternity leave, study leave etc), and submit to HR for record keeping.
  • Directly responsible for discipline – initiate misconduct or incapacity charges, follow ABSA discipline processes together with HR and an independent chairperson. Build the case files where required.
  • Ensure that team members own and manage customer queries and complaints by taking ownership and resolving in a timely manner. Act as the escalation point for their unresolved queries and complaints.
  • Motivate staff and ensure they are recognized through the ABSA Africa recognition schemes.
  • Create an empowering environment for team members, encouraging individual ownership and initiative.

Control and audit

  • Control Environment – ensure all deals comply with regulatory and legal requirements. Take responsibility for deal to ensure current controls and procedures are observed. Continuously consider risk mitigation and operational effectiveness, with monthly KRI’s reporting and providing feedback where applicable. Log all risk and loss events as they occur because of fraud or error highlighted in the department. First, escalate to line manager and then contact Operational Risk Management (ORM).
  • Adhoc reporting – prepare reports and provide relevant information as and when requested by stakeholders.
  • Business Continuity Management (BCM) – provide regular (as requested) inputs and actively participate in the review of the BCM plans by attending all meetings when requested and updating relevant documents.
  • Record Management – provide regular (as requested) inputs and actively participate in the review of the Record Management procedures by attending meetings when requested and updating relevant documents.
  • Complete all relevant compliance training and be conversant with the relevant regulations that impact on day to day functions
  • Escalate all potential risk events immediately
  • Provide all requested Management Information (MI) as required including timeous Monthly KPI submissions to Centre and Central Bank Regulatory reporting
  • Comply with prescribed policies, processes, and procedures to prevent any financial loss.
  • Accountable for ensuring that all members of the team comply with all relevant bank policies and procedures, including Safety, Health, Environment, and operational aspects.
  • Ensure proper remediation of action items received from audit and because of snap checks.
  • Receive, review, and analyse results and determine follow-up action items.
  • Identify new and emerging risk associated with the Securities perfection process and maintenance of Bank Securities..
  • Open incident reports using the bank’s Opus system and ensure escalation takes place in the system as required.
  • Participate in forums that evaluate the operational requirements for new products to be launched in the market. Act as signing authority on the security elements related to the specific product
  • Review correspondence related to security perfection and maintenance for technical issues and items escalated by the team.
  • For complex deals, on request from Corporate Relationship Managers, visit customers together with the RM to assist customers in providing the correct and complete securities when the deal is closed.
  • Critically review processes from an efficiency point of view and make recommendation for process improvement.
  • Act as interface with local registrars (company registrar, registrar of deeds) valuer’s and other external providers for the provision and registration of security documents and negotiate improved service level agreements on an annual basis
