We increasingly find our work on malaria can be
effectively integrated with other similar public health interventions for greater impact and therefore expanded our remit to include child health and neglected tropical disease interventions. Country and project background

Malaria Consortium began working in Mozambique in 2005, supporting the development of distribution systems for long lasting insecticidal nets in the country.
Our work grew from there to focus on public health communications that sought to increase malaria awareness and preventive behaviours, particularly among school children and teachers. Using malaria as an entry point, we expanded into integrated community health projects that focused on diagnosing and
treating the most common childhood illnesses – mainly malaria, pneumonia and diarrhoea. Throughout, we have consistently strived to integrate our work into government-led health programmes and ensure sustainability. Malaria Consortium Mozambique has 6 operating offices, located in Maputo (Head Office), Inhambane, Sofala, Manica, Nampula and Niassa, with allocated projects. These projects range from national level
policy support to direct implementation of control programmes for malaria, tuberculosis, diarrhoea diseases and neglected tropical diseases.

Job purpose

The Human Resources Assistant will provide HR administrative support to Mozambique Programme. Scope of work This position will work closely with the Country HR Manager to update and complete all the personnel records (soft and hard copies). He or She will be also receiving technical support from the Country Director
and the regional HR & Recruitment Advisor (if needed).

Key working relationships

The key internal working relationships are with the Administrative Assistant, Operations Officer, Country Finance Manager and the Country Director. The position holder will interact with the global HR team.

Key accountabilities

  • Collect and process HR information for all new employees;
  • Verify the hard and electronic personnel records for Mozambique based employees ensuring that they are up to date, and accurate information is saved on files and in the HR Information System (Cascade) and maintain accurate records of employment benefits;
  • Help the Country HR Manager to update the staff contact list, emergency contacts, organogram for Mozambique Programme and insurance details as required,
  • Draft contracts, amendments to contracts and all other staff letters for all Mozambique based employees and collect new starter documents;
  • Process the monthly INSS tax after the payment of salaries;
  • Work with relevant Government institution on HR related matters;
  • Schedule interviews and keep recruitment data (job descriptions, interview grids, tests) in personal files;
  • Assist the Country HR Manager to handle the performance reviews for Mozambique staff;
  • Assist the Country HR Manager to collate staff learning & development needs and update the L&D tracker;
  • Assist the Country HR Manager to start the procurement process for training and development requests for national staff;
  • Any other reasonable duties as may be designated to the role from time to time.

Person specification

Qualifications and experience:

Essential:

  • Certificate in Human Resource Management, Business Administration or a related discipline;
  • 1 year experience in similar position (preferable in NGOs);
  • HR Administration experience;
  • Prior experience in a similar level, NGO experience will be an added advantage;
  • Experience in record keeping/Management.

Work-based skills:

Essential:

  • Commitment to maintain confidentiality of HR information;
  • Able to work on own initiative with limited supervision;
  • Excellent attention to detail;
  • Ability to speak and communicate in English;
  • Good written and verbal communication skills;
  • Excellent interpersonal skills;
  • Very good in computer skills with high proficiency in Microsoft package;
  • Resourceful- Able to think outside the box
